What we collect and why
We only collect business contact and professional information. We don't collect sensitive personal data.
| Who you are | What we hold | Why | Lawful basis |
|---|---|---|---|
| Someone who contacts us, books a call or uses our discovery tool | Name, work email, company, role, anything you choose to tell us | To reply, run the call and prepare a proposal | Legitimate interests (responding to your enquiry) and steps before entering a contract |
| A client or a client's staff | Name, work contact details, project correspondence, invoicing details | To deliver the work and get paid | Contract; legal obligation for financial records |
| A business contact we think may benefit from our services | Name, job title, company, work email, public professional profile | To send occasional, relevant B2B emails about our services | Legitimate interests (promoting our services to businesses where they are relevant to your role) |
We only contact people in a professional capacity, about matters relevant to their role. Every outreach email tells you how we found your details and how to opt out.
Where prospect data comes from
If we contact you without you having contacted us first, we will have found your details from one or more of these sources:
- Your company's website and other public business sources, such as industry publications
- Your public LinkedIn profile
- Business contact data providers: Apollo, Hunter, LeadIQ
We don't buy mailing lists.
Who we share it with
We don't sell personal data or share it for anyone else's marketing. We use these service providers, who process data on our behalf and under our instructions:
- Google Workspace – email, calendar and call booking
- Netlify – website hosting
- Formspree – website form submissions
- HubSpot – contact management
- Xero – accounting
Some of these providers store data outside the UK, including in the US. Where they do, the transfer is protected by UK adequacy regulations (including the UK–US data bridge where the provider is certified) or by the ICO's International Data Transfer Agreement or Addendum.
How long we keep it
- Prospects: we delete your details if you haven't engaged with us within 12 months of our first contact. If you opt out, we keep only your email address on a suppression list so we never contact you again.
- Enquiries that don't become work: 12 months after our last exchange.
- Clients: for the length of the relationship, plus six years for financial and contract records, as required by law.
Your rights
To stop hearing from us, reply "no thanks" to any email or write to the address above. We'll stop straight away. You can object to direct marketing at any time, and you don't need to give a reason.
You also have the right to:
- Ask for a copy of the personal data we hold about you
- Ask us to correct or delete it
- Ask us to restrict how we use it, or object to our use of it based on legitimate interests
- Ask for data you gave us in a portable format, where we use it under a contract
We'll respond within one month. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to sort it out first.
